The real magic of Mural lies in the collaboration it fosters. To encourage that collaboration, you can invite teammates to collaborate together in murals. There are different collaborator types based on your needs (as well as your Mural plan type and company settings).

When to invite each collaborator type

This is a question that often comes up. Should I invite my colleague as a member, guest, or visitor? Here are some use cases of when you’d use each collaborator type:

Who should be a member?

Who should be a guest?

Who should be a visitor?

Everyday collaborators, typically internal to your organization.

So, a member is someone you expect to regularly collaborate.

Collaborators, typically external to your organization.

Guests will have limited permissions. Also, some plans and companies don't allow for guests.

One-time collaborators.

Visitors are often only collaborating in a mural or on a project for a short time.

A member is a registered user (someone who has a Mural account linked to an email address) with full access to the collaboration features and content available in your plan.

A guest is a registered user (they have a Mural account linked to an email address) that doesn't have full access to the collaboration features and content available in your plan.

A visitor is a non-registered user (no need for a Mural account) who is invited to collaborate temporarily in specific murals. They have limited access to collaboration features.


Who can invite each collaborator type

Curious who can invite members, guests, or visitors? No problem. Here’s a table of who can invite each type of collaborator to a mural:

The following collaborator types and roles can invite a member to a mural:

  • Workspace admins.

  • Room admins.

  • Mural owners.

  • Mural members (unless restricted in settings).

  • Company admins bearing one of these other classifications.

The following collaborator types and roles can invite a guest to a mural:

  • Workspace admins.

  • Room admins.

  • Mural owners.

  • Mural members (unless restricted in settings).

  • Company admins bearing one of these other classifications.

Unless restricted in settings, all collaborators in a mural (except for other visitors) can invite a visitor to a mural.


Invite collaborators to your mural

To share with collaborators, you'll first need to open the Share modal. From this modal, you can select how you want to share the mural.

Invite collaborators to your mural by email or name

This is the invitation approach you'll take when inviting members or guests to your mural. If you want to invite a visitor, you'll invite them with a link.

To invite a collaborator to a mural using their email or name:

  1. Click Share in the top right corner of your mural to open the Share modal.

  2. Under the Members and guests tab, click Email or name.

  3. Type a name or email address.

  4. Select the permissions for each invitee (can edit, can view, or no access) from the dropdown.

  5. Press Enter or Return, or select the collaborator’s name if it auto-populates.

  6. (Optional) Add a witty welcome message.

  7. Click Send Invites. The invitee(s) will receive an email invitation.

Note: If your workspace has guests enabled, people outside of your workspace domain will be invited in as guests.

Invite collaborators to your mural by link

There are three ways to use an invite link:

  • Invite a visitor to collaborate: The only way to invite visitors to a mural is by a visitor link. You can also password protect visitor links and set an expiration for visitor links.

  • Invite a new member or guest to collaborate: If you share an invite link with a new member or guest, they'll be prompted to create an account before accessing your mural.

  • Share your mural with an existing member or guest: If you share an invite link with an existing member or guest, they'll be prompted to log in and then arrive in your mural.

To invite collaborators to a mural using an invite link:

  1. Click Share in the top right corner of your mural to open the Share modal.

  2. Select the tab for the type of collaborator you're inviting:

    1. Members and guests: For long-time collaborators within your organization (members) or external to your organization (guests).

      Note: This link will bring existing members and guests to your mural, and prompt new members and guests to create a new account.

    2. Visitors: For temporary or one-time collaboration with limited access.

  3. From the Link tab, select the permissions (can edit, can view, or no access) from the dropdown.

  4. Click Copy link.

    Note: You can reset this link at any time by clicking the broken link icon and selecting Reset link.

  5. Share the URL with your collaborators.

Remove collaborators from your mural

Just as you can invite collaborators to a mural, you can also remove them. (It’s your mural, so you’re in charge!)

Note: Revoking a guest’s access does not prevent them from accessing a mural if they also have a visitor link. To completely revoke guest access to a mural, remove or deactivate the collaborator as a guest and reset the mural's visitor link. Read our article on how to reset a visitor link for more details.

To remove a collaborator from your mural:

  1. Click the Members icon in the top toolbar of your mural.

  2. Click Manage mural members.

  3. Click the Remove user (trashcan) icon in the row of the member you want to remove.

  4. Click Remove in the confirmation modal.

Tip: You can also hover over the collaborator’s row and click the More actions (gear) icon to remove them from the mural.
